Your personalized program

When we receive your inquiry, we will start a discussion about your expectations for the trip, your budget, special interests etc, and develop a program/itinerary based on your requirements. This is a starting point, and we are happy to receive your feedback, ideas and suggestions to ensure that the trip meets your expectations. We hope for an interesting exchange with you before, during and after the trip.

In order to streamline the communication and the planning process, we suggest that the group is represented by one spokesperson. From experience, we believe a dialogue is more suitable that a multi-party communication. In this way we reduce the risk of misunderstandings.

When all parties are satisfied with the proposal, it’s time to confirm the booking. Keep in mind that the price for air tickets tends to increase the closer to the date of departure the reservation is made. And to ensure availability at your preferred hotel, we recommend that you book your trip well in advance.

Time to book

When the program/itinerary has been set, we will send you a written summery that we ask you to re-confirm. In the summery, the payment and cancellation policies are stated, what’s included in the price of the trip, which hotel you’re booked into etc. The booking is confirmed by the payment of the booking fee.

Booking fee

Payments are usually made by bank transfer to our Spanish bank account. The booking is confirmed by payment of the booking fee, usually around 30% of the total price. If the booking fee is not paid within the period stated in the proposal, SweetEasy does not consider it as a confirmed booking. When paid, the booking fee is non-refundable.

Final payment

The final payment should be made at least 30 days prior to arrival, or as agreed on at the time of booking. If the final payment is not made according to the terms stated in the confirmation, SweetEasy reserves the right to consider the trip cancelled. The booking fee is non-refundable.

Travel insurance and cancellation coverage

SweetEasy does not sell or mediate any type of travel insurance. Many home insurance policies offer some coverage during travels, including cancellations, so check with your insurance company before considering taking out travel insurance for the trip. When buying the air ticket, a travel insurance can usually be added, and when paying with debit/credit card, a insurance may also be included. We recommend that you check what type of covereage is offered.

Citizens of all countries within the European Union have general health coverage for emergencies during visits in the other member states, but please check what the requirements are. If you have a special health insurance, make sure to bring copies of the agreement. SweetEasy does not sell or mediate any type of travel insurance.

Cancellations

Off course our hope is that there will be no reason for cancelling your trip, but from experience, we know that unfortunately this may occasionally be required for individual travelers, or for the whole group.

The terms of cancellations will be given in the proposal, and may vary depending on the size of the group, the number of persons cancelling (or if the cancellation is for the whole group) and any special agreement made at the time of booking.

Our general cancellation policy for individual travelers is:

o For cancellations more than 30 days prior to the date of arrival, no additional

fee is charged. The booking fee is not refundable.

o For cancellations later than 30 days prior to arrival, the final payment should

be made.
